Any early setup is possible depending on availability and only by request. Please contact Event Services in advance to discuss the options.

Are you placing large equipment on your stand? Then check the logistics section.

On the first day of the event, no more setup work can take place. That morning, only small materials may still be placed on the stand via the exhibitors’ entrance (with carts) or the visitors’ entrance (without carts). All loading doors remain closed. Activities that could dirty the stand and/or event, such as painting, sawing, etc., are no longer allowed on this day.

Catering during setup and dismantling

During the entire setup and dismantling period, free coffee and tea are available.
From Wednesday, August 20, 2025, catering (lunch only) is available on-site for purchase.

Delivery of materials

Delivery/shipment of materials for your stand is only possible during the specified setup and event days. Delivery beforehand is not allowed. We do not sign for receipt, so please ensure someone is present to sign for the delivery.

Heavy and large equipment on the stand

All equipment larger/wider than 2.5 meters and/or heavier than 2.5 tons must always be registered in advance with Event Services. Based on the stand location, Event Services will determine the delivery sequence in a drive-in schedule.
If large equipment is not registered in advance, you risk that it cannot be placed on the stand.
Please send the specifications of the equipment, stand name, stand number, and event name to eventservices@easyfairs.com.

Logistical services

Are you looking for a company that can transport your stand materials, machines, etc., to the event location and even deliver them directly to your stand? Our logistics partner Valverde specializes in event logistics from A to B and everything involved. Check out the options at:

Forklift service

Easyfairs provides free forklift service for deliveries of small materials up to 2 meters and a maximum of 2 tons during the regular setup and dismantling days (not during any early setup).
It is not possible to reserve a timeslot for the free forklift service.
On-site, you can report to the forklift driver wearing the yellow vest. This service operates on a first-come, first-served basis, so you may have to wait before being assisted.
Deliveries of materials larger than 2 meters and heavier than 2.5 tons are only possible against payment and must be requested in advance through Event Services.

Storage

Reserve storage space for packaging via the webshop.

Access for exhibitors

  • During all event days, the loading doors are closed.
  • No access passes are required during setup.
  • Stand staff must be registered in advance to gain access during the event.
  • The minimum age during setup is 16 years.
  • Pets, except for assistance dogs, are not allowed.

Parking

During setup, dismantling, and throughout the event, the parking lot of Evenementenhal Gorinchem is available. Parking during setup is free. Green vehicles are allowed. Red vehicles are not allowed. Camping is prohibited at all times on our parking lot.

Exhibitors' desk

The exhibitor desk is located at the exhibitors’ entrance during the setup. If you have questions or comments about your booth or orders, you can go to the exhibitor desk for assistance.

Additional orders on site

If you would like to place an additional order, you can do so at the exhibitors’ desk. Please note that not all webshop items can be ordered on-site and that delivery of all pre-ordered webshop items always takes precedence.

Picking up exhibitor badges and vouchers

Avoid long queues. Register your stand staff in advance via My Easyfairs and collect your exhibitor badges, catering vouchers, and parking tickets at the exhibitors’ reception. Vouchers and badges can be picked up at the following times:

During the event days, you can pick up the badges at the regular registration desks.
